Our client, a leading Sephora makeup brand, is seeking an Executive Assistant & Office Manager to join the team in Los Angeles, CA on a hybrid schedule (4 days a week in-office, Fridays WFH). They are seeking someone highly organized, proactive, and resourceful to support the CEO, while taking ownership of the day-to-day workplace experience. Job Duties Include:
Executive Support
  • Serve as a trusted partner to the CEO, helping maximize her time and stay ahead of priorities.
  • Manage a complex calendar, scheduling, meeting logistics, and domestic/international travel.
  • Prepare meeting materials, agendas, presentations, and follow-up items.
  • Track priorities, deadlines, and deliverables to ensure nothing falls through the cracks.
  • Support strategic initiatives and special projects as needed.
  • Act as a liaison between the CEO and internal teams, investors, board members, partners, and vendors.
  • Handle confidential information with discretion and sound judgment.
  • Anticipate needs and proactively solve problems before they arise.

Office Management
  • Own the day-to-day operations of the LA office, ensuring it is organized, welcoming, and running efficiently.
  • Manage relationships with building management, facilities, vendors, and office service providers.
  • Oversee office supplies, kitchen inventory, equipment, shipping, mail, maintenance, and general workplace needs.
  • Coordinate new-hire office setup, access, workspaces, and supplies.
  • Support team events, celebrations, lunches, gifting, and other culture-building initiatives.
  • Identify and implement processes that improve office efficiency and employee experience.
Office Expansion & Projects
  • Play a leading role in identifying and evaluating the company’s next office space.
  • Partner with brokers, landlords, designers, contractors, and vendors throughout the office search and build-out.
  • Help manage project timelines, budgets, and logistics related to the new workplace.
  • Partner with leadership to create an office environment that reflects the company’s culture and supports collaboration and creativity.
  • Coordinate the office relocation and ensure a smooth transition with minimal disruption.
Team & Project Coordination
  • Help leadership and cross-functional teams stay organized around priorities, timelines, and deliverables.
  • Coordinate company offsites, leadership meetings, team events, and internal gatherings.
  • Support company-wide communications and meeting logistics.
  • Jump into special projects and serve as a go-to resource for solving problems and keeping the business moving.

Job Qualifications Include:
  • 5+ years of experience supporting a Founder, CEO, or senior executive in an Executive Assistant, Chief of Staff, Office Manager, Operations, or similar role.
  • Previous office management or workplace operations experience, ideally within a startup or high-growth environment.
  • Exceptional organizational skills and attention to detail.
  • Proactive, resourceful, and highly solutions-oriented with strong project management skills.
  • Excellent communication skills, emotional intelligence, professionalism, and discretion.
  • Comfortable managing multiple priorities and operating independently in a fast-paced environment.
  • Proficiency with Google Workspace and modern productivity tools.
  • Excited to work in person and play a central role in the office culture.
  • This role is based in Los Angeles and requires four days per week in the office.
  • Flexibility to occasionally adjust hours based on executive schedules, company events, or business needs.

Salary:$115K - $120K + bonus
