Our client, a wellness brand, is looking to hire an Executive Assistant to join their team at a temporary capacity to help keep things running smoothly for their senior leaders during a leave of absence. This is a hybrid role, with in-office attendance at their New York headquarters Tuesday - Thursday and the flexibility to work remotely on Mondays and Fridays. This role is slated until mid March 2026. Job Duties Include:
- Serve as a trusted partner to three senior executives by managing complex calendars, arranging travel, and processing expenses
- Provide backup administrative support for additional executives as needed
- Organize and coordinate meetings, including securing space, drafting agendas, preparing materials, and ensuring participant availability
- Support the leadership team with recurring deliverables such as meetings, updates, and reports
- Plan and execute organizational events (e.g., Town Halls, team meetings), overseeing logistics such as venue setup, catering, and presentation support
- Additional duties as needed and assigned
Job Qualifications Include:
- 10+ years of professional experience in administrative or executive support roles
- Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar)
- Expertise in coordinating both domestic and international travel
- Demonstrated success in managing multiple executive calendars and competing priorities
- Familiarity with expense management platforms (e.g., Concur, SAP, or similar)
- Strong background in event planning and logistics coordination
- Experience creating polished presentations and meeting materials
- Exceptional written and verbal communication skills
- Ability to pivot quickly, manage shifting priorities, and meet tight deadlines
- High degree of professionalism, discretion, and confidentiality
Salary: $
48 - $50/hr
