Our client, a luxury perfume house , is seeking an Administrative Assistant for their executive team in NYC . This in-office role serves as the primary front-desk presence, welcoming guests and ensuring a smooth and well-organized office experience. The successful candidate is self-sufficient, proactive, and able to work independently.
The ideal candidate has a background supporting senior leaders or C-suite executives, is highly detail-oriented, demonstrates exceptional grammar skills, and presents themselves with professionalism and confidence.
Job Responsibilities:- Assist senior leadership with reporting, projects, and other high-priority initiatives.
- Manage business and personal calendars, schedule appointments, attend meetings, and take comprehensive notes.
- Handle administrative tasks including travel arrangements, expense reports, email correspondence, filing, and office organization.
- Provide support across departments such as Human Resources, Training, Marketing, and Executive Administration
- Create professional PowerPoint presentations and support ad hoc projects and other departments as needed.
- Plan and coordinate events, meetings, catering, and scheduling virtual calls
- Provide personal support such as running errands, shopping, making reservations, arranging gifts, etc.
- Communicate professionally with employees, clients, and associates while keeping the Executive Office updated on project progress.
- Additional duties as needed and assigned.
- 2+ years of corporate work experience, with a proven track record of efficiency and resourcefulness.
- Proficiency in Microsoft Suite, Adobe and Zoom.
- Excellent organizational skills, exceptional communication abilities, and a positive and professional attitude.
- Strong ability to spot errors immediately is essential.
- Must be able to maintain confidentiality.
- Strong interpersonal skills and ability to collaborate effectively with local global teams.
- Multilingual skills are a plus
- Ability to stand for duration of shift and lift up 50lbs as needed
