Office Assistant, Temp to Perm

Our client, a management firm, is hiring a Pantry Assistant to join their team onsite in NYC. This is a temporary role with the potential to become permanent based on performance and the needs of the business. Candidates must be available to travel as-needed basis for projects and events.

 

Job Duties Include:

  • Ensure supplies of snacks and beverages are stocked in pantry and storage areas
  • Maintain tidy and organized pantry, café, and all conference rooms
  • Brew coffee, operate coffee machines, and maintain hot water kettle as needed
  • Follow building recycling program ensuring compliance with local regulations
  • Ensure the dishes are cleaned by clearing sinks and running dishwashers
  • Monitor trash and arrange for porter service or empty as necessary
  • Refill paper in copy machines and ensure machines are in operating order
  • Assist with staff on event coordination and meeting services support.
  • Maintain outdoor terrace areas seasonally as needed
  • Manage pick up of mail from lobby PO box and ensure mail & packages are dropped off
  • Assist with reconciling vendor invoices with order confirmations and forward to Finance team
  • Provide back-up and break coverage for receptionist as needed including greeting staff/visitors, monitoring visitor log, answering main telephone, etc.
  • Partner to coordinate review and approval of Certificates of Insurance by building management
  • Sign for packages and notify applicable recipient immediately
  • Assist with overflow work from Executive Assistants and provide desk coverage during administrative staff absences as requested
  • Assist with additional duties, projects, and requests as needed

 

Job Qualifications Include:

  • Bachelor’s degree is required
  • 2+ years of previous reception/office assistant experience
  • Excellent interpersonal skills and collaborative work style
  • Excellent organizational skills and attention to detail
  • Ability to problem solve and be resourceful in identifying solutions
  • Working knowledge of MS Office Suite including Word and Excel
  • Ability to lift, push, and move boxes and items weighing up to 25 lbs.

 

Salary: $28 - $33/hr
